The conductor of your AI orchestra: The Flowable Orchestrator Agent

Your business processes are becoming increasingly complex, involving a mix of human tasks and automated systems. And now, your enterprise technology stack begins to include a growing suite of specialized AI agents — as SaaS providers add agents for specialized tasks within individual platforms.

If you use an enterprise automation platform, such as Flowable, to optimize your business processes with orchestration and automation throughout your tech stack: AI agent assisted work could even present a much bigger picture. A Document Agent can digitize your invoices, a Knowledge Agent can answer your teams' questions, a Utility Agent can perform custom calculations, and external AI agent integration can action the agentic AI of other platforms you work with right within an end-to-end automated workflow.

But how can you orchestrate the actions of individual AI agents within newly dynamic workflows in meaningful ways and create end-to-end intelligent processes?

Ensuring isolated AI (agent) automation makes up connected end-to-end processes with orchestration

The real power of artificial intelligence in the enterprise is in orchestrating complex workflows with multiple steps that adapt to changing conditions. Flowable’s Orchestrator Agent offers this critical capability, acting as a central nervous system for your AI-powered workflows. It coordinates the activities of other agents, manages the flow of information between them, and applies business rules to ensure that every action aligns with your strategic objectives.

The shift from both simple automation and siloed AI agent use to intelligent orchestration is the key to impactful AI adoption today. Simple automation focuses on executing predefined tasks, and the intelligent orchestration of an orchestrator agent is able to manage dynamic processes oriented around specific goals by actioning these tasks while completing entire enterprise workflows.

The Orchestrator Agent also enables you to build intelligent, resilient, and adaptive business processes through an orchestration approach to agentic AI workflows. This approach ensures your AI agents don't operate as isolated actors but become core, connected elements of your organizational workflows.

Proactive and reactive intelligence: a dual approach to orchestration

The Orchestrator Agent employs a sophisticated, dual approach to managing your automated workflows. By combining proactive guidance with reactive agility, it can anticipate future needs and respond intelligently to unexpected events.

Proactive guidance with AI activation

The first mode of operation is proactive, using a feature called AI Activation. In this mode, the Orchestrator Agent analyzes the context of a case or process and suggests the most appropriate next steps. For example, in a loan application case, the agent can analyze the loan description and, if it mentions purchasing property, the agent can proactively suggest activating the 'Real Estate Loan' stage of the process. The agent can present this guidance as a suggestion for a human user to confirm, or can automatically execute it, providing flexibility while still allowing human oversight.

Reactive agility with intent detection

The second mode is reactive, where the Orchestrator Agent uses intent detection to respond to new information or events. An intent is a specific user goal or purpose expressed in conversation, for instance, if a customer in a loan application process states, "I no longer need the loan, the apartment has sold."  The Orchestrator Agent detects the 'cancellation' intent, and can trigger a subsequent series of automated actions, such as terminating the active loan processing tasks and initiating a new 'Cancel Loan Request' task.

This double header of proactive activation and reactive intent detection makes the Orchestrator Agent a uniquely powerful tool for managing complex processes in the real world that are rarely linear and predictable.

The strategic advantage of an orchestrated AI ecosystem

By providing a centralized coordination layer for your AI agents and tools, the Orchestrator Agent delivers significant strategic advantages.

Enhanced process resilience: Business processes rarely go exactly as planned. The Orchestrator Agent's ability to react to unexpected events and adapt the process accordingly makes your operations more resilient and robust.

Improved decision making: By analyzing the full context of a case and suggesting the most appropriate actions, the Orchestrator Agent helps your teams make faster, more consistent, and more informed decisions.

Increased operational efficiency: The agent reduces the need for manual intervention and decision-making, freeing up your employees to focus on activities that deliver greater value. It ensures that the right tasks are assigned to the right agents or people at the right time, optimizing the flow of work through your organization.

Scalable AI governance: As you deploy more AI agents, managing their interactions and ensuring they adhere to business rules becomes increasingly challenging. The Orchestrator Agent provides a scalable framework for governing your AI ecosystem, ensuring that all actions are tracked, auditable, and aligned with your compliance requirements.

Orchestration in action: a loan processing example

To understand the practical application of the Orchestrator Agent, consider a loan application process built using case management. When a new loan request is submitted, a case is created in Flowable. The Orchestrator Agent is linked to this case and immediately begins its work.

1. Initial analysis and proactive suggestion

The applicant requests a loan of 150,000 to "buy a new house." The Orchestrator Agent analyzes the description and suggests activating the "Real Estate Loan" stage. This suggestion appears in the case's chat interface, and a user can approve it with a single click.

2. Automatic activation

For more routine requests, such as a small loan to "buy a motorcycle," the Orchestrator Agent can activate automatically. In this scenario, it would bypass the suggestion step and directly activate the "Regular Loan" stage, assigning the first task to the appropriate team member without previous human intervention.

3. Reactive intent handling

Later, the applicant calls and informs a case worker that the house they intended to buy has been sold, and they wish to cancel the loan application. The case worker posts a message in the chat: "I just got off the phone with the customer. He says that the apartment has been sold already." The Orchestrator Agent detects the cancellation intent from this message, automatically terminates the active "Handle Real Estate Loan" task, and creates a new "Cancel Loan Request" task.

The Orchestrator Agent blends proactive and reactive intelligence to manage a dynamic, unpredictable business process from start to finish. And the underlying approach relies on the Case Management Model and Notation (CMMN) standard to provide a structured blueprint to enable this level of adaptive workflow management.

The central hub of your AI-powered enterprise

The Orchestrator Agent is the key to unlocking the full potential of your AI investments. It transforms a collection of individual AI tools into a coordinated, intelligent system that can tackle your most complex business challenges. By working in harmony with the Document, Knowledge, and Utility Agents, the Orchestrator Agent ensures that your entire AI ecosystem is more than just the sum of its parts.

As you continue to build out your AI capabilities, the need for intelligent orchestration will only grow. The Flowable Orchestrator Agent provides the robust, scalable, and flexible solution you need to conduct your AI orchestra and compose the future of your business.
