Marketing Operations Manager Poland

Marketing Operations Manager

Flowable is a leading provider of intelligent process and case automation solutions, trusted by global enterprises to power mission-critical business operations.

With our next-generation Agentic Case Platform, we orchestrate people, systems, and AI to deliver real business outcomes – faster, smarter, and with greater agility.

As Flowable's Marketing Operations Manager, you design, build and run the systems, data and processes that let marketing plan, execute and prove its contribution to pipeline. You also lead how the team adopts AI and automation. Beyond marketing, you'll work closely with Sales, Product, IT, our Salesforce Application owner, and a small network of marketing vendors.

Responsibilities:

  • Funnel & lead operations: You own the lead lifecycle: stage definitions, scoring and grading. You design and test lead routing and MQL→SAL SLA rules. You're accountable for data quality, the persona taxonomy along with segmentation and audience creation, and a healthy mailable database. You run attribution tracking across forms, UTMs and lead-gen syncs, and you run the product trial journey in Pardot.

  • Campaign & GTM operations: You set up the operational side of different marketing initiatives, such as events, webinars, ABM, nurturing and product launches (forms, campaigns, list imports, redirects). You also manage website operations.

  • Performance & analytics: You own the marketing performance framework and its definitions. You deliver monthly and quarterly executive reporting on pipeline targets, velocity, and channel performance.

  • AI & automation: You lead AI adoption across the marketing function. You build AI workflows and automations that remove manual ops work, such as funnel monitoring and alerting, and the Claude skills and integrations the team uses. You run a regular best-practice sharing cadence so the team uses them well.

  • Planning, governance & tooling: You manage the marketing ops budget and own the marketing ops roadmap. You administer marketing tools and access (Pardot, Contentful, ClickUp, and others), ensuring new team members are onboarded correctly. You also maintain our GDPR record of processing initiatives.

  • Working with Salesforce: You work closely with the Salesforce Application Owner and own the Pardot platform, where you operate daily. For marketing changes in Salesforce, such as routing, lead-gen syncs, marketing fields and CRM hygiene, you write the specification and rules and test the result. The Salesforce owner builds and deploys.

Qualifications:

  • 4+ years in marketing operations, ideally in B2B SaaS with enterprise sales cycles.

  • Hands-on Pardot (Account Engagement) experience: programs, list imports, segmentation, forms, scoring and automations. This is mandatory.

  • Hands-on experience working in Salesforce as a marketer, with a solid grasp of leads, contacts, campaigns and opportunities. You need enough depth to write precise specs and test changes. This is mandatory; admin certification is not required.

  • A track record of building marketing ops infrastructure, not just operating it: a scoring model, a lifecycle, an automation or a reporting layer you designed from scratch.

  • Experience building reporting and dashboards that leadership trusts and uses.

  • A clear point of view on funnel design: lifecycle stages, scoring, attribution and SLAs.

  • Practical experience applying AI and automation to operational workflows, and the appetite to bring a team along.

  • Working knowledge of GDPR as it applies to marketing data.

  • Strong project management and excellent communication skills across various organizational levels.

  • Comfortable running several projects in parallel and reprioritising fast.

  • Excellent written and spoken English.

Nice to have:

  • Experience with Contentful or another headless CMS

  • Start-up / scale-up experience

  • German

What success looks like:

In your first 6 months, you'll shape how Flowable generates pipeline: redesigning lead and account scoring, redefining the funnel stages Sales and Marketing run on, and building out the campaign automation workflows that scale our programs. Beyond that, success means:

  • Improving conversion rates and velocity across the funnel.

  • Clean, usable data: attribution on every lead source, complete key fields and a growing mailable database

  • Reporting delivered on cadence and trusted by leadership

  • Campaigns, events, nurtures and ABM programs that go live on time, error-free, with tracking in place from day one

  • Manual ops workload steadily reduced through automation and AI adoption across the team

Why Flowable:

  • Real ownership: you own how marketing runs, from funnel design to AI workflows, in a team that acts on the insights you produce.

  • Our company culture: an international, open-minded company with flat hierarchies: we count on people, not titles

  • Career growth: room to develop as the company grows, including hands-on work at the front of AI adoption in B2B marketing.

  • Flexible working hours, remote work and trainings.
