We are seeking a highly skilled and outcome‑driven Business Operations Specialist to support our Business Operations team. In this role you will work closely with our VP of Operations, supporting administration, contract management, and reporting. You will be instrumental in driving and supporting operational excellence, enabling team efficiency, and contributing to key strategic initiatives.

The position requires strong cross‑functional support across Sales, Customer Success, Professional Services, Legal, and Finance to ensure the team operates smoothly, scales effectively, and consistently delivers against its goals.

Responsibilities:

1. Sales & Business Operations Support: You’ll help ensure smooth day‑to‑day operations by:

  • Managing end‑to‑end order processing, contract support, project creation in Workday, and customer onboarding.

  • Assisting with security questionnaires, RFPs, and basic compliance requests.

  • Maintaining accurate and up‑to‑date data in Salesforce.

2. Billing & Financial Support: You’ll play a key role in our monthly financial routines by:

  • Preparing customer invoices.

  • Supporting revenue tracking, reporting, and KPI overviews.

  • Assisting with month‑end checks alongside the wider team.

3. Data & Systems: You’ll help keep our internal systems running effectively by:

  • Ensuring data accuracy in Salesforce and Workday

  • Supporting forecasting, budget tracking, and order backlog oversight

4. Cross‑Team Coordination & Administrative Support: You’ll collaborate with Sales, CSM, Professional Services, Legal, and Finance through:

  • Handling emails and customer communications.

Qualifications:

  • Bachelor's degree in Business Administration or a related field.

  • 3+ years of experience in a similar role.

  • Proficiency in Microsoft Office Suite (specifically Excel).

  • Fluency in English; German is a plus.

  • Excellent organizational skills and the ability to manage multiple tasks simultaneously.

  • Detail‑oriented, proactive, and able to perform well under pressure.

We don’t expect you to know everything on day one, but it’s great if you bring:

  • Some experience with contracts, order forms, renewals, or POs.

  • Basic understanding of billing, revenue, or taxes.

  • Ability to work with compliance documents (SOC2, ISO, vendor questionnaires).

  • Familiarity with tools like Workday Finance, Salesforce, SAP Ariba or financial reporting systems.
